2. Your enquiry and attachments
The form collects your name, email, enquiry and, optionally, a deadline and up to three PDF, JPG or PNG files of 5 MB each. This information is used to assess your enquiry and prepare a possible collaboration. Direct submission saves your information and files in ONIT ASSIST’s protected inbox. Confirmation appears only after successful storage. Do not include passwords, identity documents or medical information.
3. Authorisation and signed documents
Preparing an authorisation processes your entries in your browser without sending them to the server. A separate form lets you submit the signed document with your name, email and assignment reference. Receipt does not mean the authorisation has been reviewed or accepted.
4. WhatsApp and email
Emails are received and sent through Infomaniak Network SA, Switzerland. Messages, addresses, attachments and technical delivery data are processed for this purpose. Your own email provider also participates in delivery. The website emails ONIT ASSIST about new submissions without attaching the uploaded documents.
WhatsApp Business is an optional contact method. The link opens WhatsApp only after you click; the site embeds no WhatsApp tracking module. The provider for the European region is WhatsApp Ireland Limited, Ireland. WhatsApp processes account, device, connection and usage data, among other information. According to WhatsApp, processing may occur worldwide, including in the United States, United Kingdom, Singapore and Israel. Depending on the transfer, WhatsApp cites adequacy decisions, the Swiss-U.S. Data Privacy Framework and standard contractual clauses. Details and recipients are described in the WhatsApp privacy policy. Please prefer the website upload for confidential documents. Email and the website form are alternatives.
5. Technical operation and fonts
The website, forms and document inbox are hosted by Infomaniak Network SA in Switzerland. Submitted forms and files are stored in a protected area of the hosting. The service provider can retrieve and delete them after signing in; the inbox is not public. The host processes technical data such as IP address, time, requested page and browser information for operation, security and troubleshooting. Further information: Infomaniak privacy policy.
A necessary session cookie protects submissions and enables the service provider to sign in. The website embeds no own analytics or advertising trackers. Manrope is served locally without connecting to Google Fonts. Form contents are not saved in browser local storage. Identifiers derived from IP addresses limit login and submission attempts; counters expire after one hour and are cleaned up on later attempts.
6. Processing during an assignment
Information is used to assess enquiries, deliver agreed services, communicate and invoice. Further processing is intended to use local storage on the service provider’s personal MacBook, outside OneDrive and iCloud synchronisation. OneDrive is not used for client records. Website submissions and emails remain separate data sets at Infomaniak. Disclosure to assignment-related third parties is limited to what is necessary and authorised by the client or a power of attorney, subject to legal obligations.
Client data and confidential client documents are not entered into AI services. AI may be used for general research without client data. Decisions about accepting or performing an assignment are not made exclusively by automated means.
7. Retention and your rights
Enquiries without an assignment are deleted three months after discussions end. Working documents are deleted no later than 90 days after an assignment ends unless retention for a specific purpose remains necessary; sensitive documents are deleted earlier as soon as their purpose ends. Invoices and accounting records subject to statutory retention duties are kept for ten years after the financial year ends. Evidence needed for unresolved claims is retained for that purpose until resolution or for the applicable limitation period.
Deletion is performed manually and covers the document inbox, local working copies and unneeded email and message copies accessible to the service provider. Deleted data may remain in technical backups until the relevant backup is overwritten or cleaned up; these copies are not used for current assignments. Following a restoration, prior deletions must be reapplied. Deletion at ONIT ASSIST does not delete copies held by clients or communication providers acting as independent controllers.
You may request access to your personal data, correction of inaccurate data and deletion of data that is no longer needed. Consent may be withdrawn for the future. Where statutory conditions are met, you may request delivery or transfer of your data. Retention duties and other statutory restrictions remain reserved. You may also contact the FDPIC.
